2. Hosting and server log files

This website is hosted by minuskel screen partner GmbH. The hosting provider processes technical access data on our behalf.

When the website is accessed, the following data in particular may be processed:

• IP address,
• date and time of access,
• files or pages accessed,
• browser and operating system information,
• technical protocol data.

The data is processed in order to provide the website and ensure its security and stability.

The legal basis for the processing is Article 6(1)(f) GDPR. Our legitimate interest lies in the secure, stable and uninterrupted operation of the website and in the detection and prevention of disruptions and attacks.

The log data is deleted as soon as it is no longer required for these purposes, unless statutory retention obligations or specific security interests require longer storage.

3. Statistics using Matomo

We use the self-hosted web analytics software Matomo to statistically analyse the use of this website.

Data is collected by means of an image request without the use of cookies. The following data in particular is processed:

• the IP address shortened before storage,
• technical information about the browser and device used,
• information about the page accessed,
• the date and time of the page view.

The data is processed exclusively for data-minimising statistical analysis and for the technical and content-related improvement of this website.

The legal basis for the processing is Article 6(1)(f) GDPR. Our legitimate interest lies in analysing and optimising our online services.

Data relating to individual visits is deleted after 365 days.

4. Registration and user account

Users may create a user account on this website.

The following data is processed during registration:

• username,
• email address,
• password.

This information is required to create and use the user account.

After registration, users may voluntarily add the following information to their user profile:

• first name,
• last name,
• profile picture.

Voluntary information may be changed or removed through the user account.

The data is processed in order to provide the user account, enable login and allow the user to use the functions of the karaoke application.

The legal basis for the processing is Article 6(1)(b) GDPR. A user account cannot be provided without the required registration data.

Account data is generally stored for as long as the user account exists. Statutory retention obligations and the continued storage of individual data where necessary for the establishment, exercise or defence of legal claims remain unaffected.

5. Use of the karaoke application and visibility of the waiting list

Registered users may use their user account to join the waiting list of performers at karaoke events.

The following data in particular is processed for this purpose:

• association with the user account,
• the username, stage name, first name or full name entered by the user,
• the title of the selected song,
• the time at which the entry was submitted,
• the status and position within the waiting list.

The name or stage name entered by the user, the selected song title and the status and position within the waiting list are visible to other logged-in users of the karaoke application.

Users decide whether to use their username, a stage name, their first name or their full name on the waiting list.

The data is processed for the organisation and operation of the karaoke event, in particular for managing the order of performers and the selected songs.

The legal basis for the processing is Article 6(1)(b) GDPR, insofar as the processing is necessary to provide the functions requested by the user.

Where the processing also serves the organisation and orderly operation of the event, it is additionally based on Article 6(1)(f) GDPR. Our legitimate interest lies in the reliable organisation and operation of karaoke events.

The data in the current waiting list is deleted or transferred to the performance history as soon as it is no longer required for the operation of the respective event.

6. Performance history and statistics

For the purpose of documenting previous performances, compiling statistics and improving the karaoke events and the related application, we store the following data in particular:

• association with the user account,
• the name or stage name used for the performance,
• the title of the song performed,
• the date and time of the performance,
• association with the respective event.

The processing makes it possible, in particular, to compile statistical analyses of which songs were performed at the events and how the karaoke application was used.

The legal basis for the processing is Article 6(1)(f) GDPR. Our legitimate interest lies in documenting, analysing and improving our karaoke events and the related application.

Personal performance history is stored for no longer than three years from the date of the respective performance. After this period, personal information is deleted or anonymised in such a way that it can no longer be associated with a specific person.

When a user account is deleted, the account data and the association between previous performances and the person concerned are deleted.

Information about songs performed, the time of the performance and the respective event may continue to be stored in anonymised form for statistical purposes.

Where a name, stage name or other identifier used for a previous performance makes it possible to associate the record with the person concerned, it will be removed or replaced with a neutral designation.

Anonymised statistical data that can no longer be associated with a specific person may be stored and analysed without any time limit.

Users may object to the processing of their personal data for these purposes at any time on grounds relating to their particular situation.

7. Deletion of the user account

Users may delete their user account using the designated function or request deletion by sending an email to karaoke@rbc.berlin.

When a user account is deleted, the following data in particular is deleted:

• username,
• email address,
• password,
• first name and last name, if provided,
• profile picture, if uploaded,
• the association between the performance history and the user account,
• names, stage names or other identifiers contained in the performance history, where they make it possible to associate the record with the person concerned.

Deletion of the user account does not result in the deletion of anonymised information about songs performed, the time of the performance or the respective event, provided that this information can no longer be associated with a specific person.

Individual data may continue to be stored where this is required by statutory retention obligations or necessary for the establishment, exercise or defence of legal claims.

8. Uploading a profile picture

Registered users may voluntarily upload a profile picture.

The profile picture is associated with the user account and used to display the user profile within the karaoke application.

The legal basis for the processing is Article 6(1)(b) GDPR, insofar as the profile picture is provided as an optional feature of the user account.

The profile picture may be removed or replaced at any time through the user account. When the user account is deleted, the profile picture is also deleted, unless legal grounds require its continued storage.

Users may upload only images that they are entitled to use. Images of other persons may not be uploaded without their consent.

9. Contact and contact form

When you contact us by email, telephone or through the contact form, we process the information you provide in order to handle your enquiry.

When the contact form is used, the following data in particular is processed:

• name,
• email address,
• subject,
• content of the message.

For technical reasons, the time of submission and the IP address may also be processed.

We use hCaptcha to protect the contact form against automated submissions. Further information can be found in the section entitled "hCaptcha".

The legal basis for the processing is Article 6(1)(b) GDPR where your enquiry is related to a contract or pre-contractual measures.

In all other cases, the processing is based on Article 6(1)(f) GDPR. Our legitimate interest lies in handling incoming enquiries and ensuring reliable communication.

The provision of your data is voluntary. Without the information marked as required, we may not be able to process your enquiry.

The data is deleted as soon as the enquiry has been fully resolved and no statutory retention obligations or legitimate interests require continued storage.

10. hCaptcha

We use hCaptcha to protect our contact form against abusive automated submissions. hCaptcha is a service provided by:

When hCaptcha is used, the following data in particular may be processed:

• IP address,
• browser and operating system information,
• information about the device used,
• date and time of use,
• interaction and usage data.

The data is processed to the extent necessary to detect automated access and prevent spam, abuse and attacks.

The legal basis for the processing is Article 6(1)(f) GDPR. Our legitimate interest lies in protecting the contact form and our technical systems against abusive automated use.

The processing or transfer of personal data to the United States cannot be ruled out. Any such transfer is carried out in accordance with the legal requirements governing the transfer of personal data to third countries.

11. Recipients and processors

Personal data may be transferred to technical service providers that assist us with the hosting, operation, maintenance or protection of the website and the karaoke application.

Such recipients may include in particular:

• the hosting provider,
• technical maintenance and IT service providers,
• providers of security and spam protection services.

These service providers process personal data only within the scope of the agreed services and, where required, on the basis of a data processing agreement.

Any further transfer of personal data takes place only where permitted or required by law or where the data subject has expressly consented.

We implement appropriate technical and organisational measures to protect personal data against loss, unauthorised access, alteration or unlawful disclosure.

The security measures are reviewed and adjusted in line with technological developments and the respective level of risk.
